1. Introduction
Diplomexa is a technology platform operated by:
- Factskoot Eduwellness Private Limited for transactions billed in Indian Rupees (INR), with its registered office at No. 43, WeWork Galaxy, Shanthala Nagar, Residency Road, Bengaluru 560025, Karnataka, India ("Factskoot").
- Destineze Educational Voyages FZCO for transactions billed in foreign currencies, with its registered office at IFZA Business Park, Dubai Silicon Oasis, Dubai, United Arab Emirates ("Destineze").
2. Eligibility
You must provide accurate and current details. Minors must obtain parent or guardian consent before participating. Institutions are responsible for obtaining all required student permissions.
3. Account Responsibilities
You are responsible for the security of your credentials. Misuse, impersonation, unauthorised access and abuse are prohibited and may result in account suspension.
4. Event Participation
Event rules are set by organisers. Council/country allocation may be manual, automated or organiser-approved. Organisers may change schedule, committees, speakers, trainers or event format where reasonably required.
5. Learning Content (LMS)
LMS content is licensed for authorised users only. Content may be view-only, in-app-only, time-limited or restricted. Unauthorised copying, downloading, screen recording, sharing or redistribution is prohibited. Completion rules, video-watch thresholds and certificate eligibility are determined by organiser settings.
6. Payments and Billing
INR payments are billed by Factskoot through Razorpay. International payments are billed by Destineze through Stripe. Payment-gateway terms may also apply. Taxes (Indian GST and, in future, UAE VAT) are charged as configured per billing entity and jurisdiction.
7. Refunds and Cancellations
Refunds are governed by the Refund and Cancellation Policy. Payment-gateway charges, taxes and administrative fees may be non-refundable where applicable.
8. Certificates and Reports
Certificates are generated based on eligibility rules. QR verification confirms a certificate's record in Diplomexa. Name corrections may require admin approval. Misuse or forgery of certificates is prohibited.
9. Smart Support
Diplomexa Smart Support provides assistance using platform and event context. Complex or sensitive queries may be escalated to human support. Support records may be stored for quality, compliance and dispute resolution.
10. Acceptable Use
No harassment, hate speech, abuse, cheating, plagiarism, hacking, spamming or illegal activity is permitted. Diplomexa may suspend access for policy violations.
11. Intellectual Property
The Diplomexa platform, design, workflows, technology, reports and templates belong to their respective owners. Organiser-uploaded content belongs to the organiser or the rightful owner. Users receive a limited, revocable licence to access content for permitted event or training purposes.
12. Limitation of Liability
The platform is provided as a technology facilitator. Event delivery, judging and organiser decisions are managed by the organiser. Liability is limited to the amount paid for the disputed transaction, subject to applicable law.
13. Force Majeure
Neither Factskoot nor Destineze is liable for delays or cancellations caused by events beyond their reasonable control.
14. Governing Law and Jurisdiction
INR / India transactions: governed by the laws of India. The courts at Bengaluru, Karnataka shall have exclusive jurisdiction.
Foreign currency transactions: governed by the laws of the United Arab Emirates. The courts of Dubai shall have exclusive jurisdiction.
This clause is admin-editable after the final legal review.

14. Diploks — Platform Credits
Diploks are Diplomexa platform credits used to unlock eligible digital services. Diploks are not cash, not cryptocurrency, not e-money, not a stored-value wallet, not an investment product, not transferable, not withdrawable, not resellable, and cannot be converted into money.
14.1 Nature of Diploks
- Diploks are platform credits and can be used only inside Diplomexa.
- Diploks unlock eligible digital services such as delegate access, reports, certificates, Smart Support features, LMS premium actions, event tools and communication services.
- Diploks have no cash value.
14.2 No withdrawal, no transfer
- Users cannot withdraw Diploks.
- Users cannot transfer Diploks between unrelated organisations.
- Users cannot resell Diploks or exchange them for cash or any monetary value.
14.3 Diploks types and rules
- Trial Diploks — free promotional credits, non-refundable, expire as per trial rules, may be restricted to demo features, cannot remove branding or publish official paid events unless admin allows.
- Bonus Diploks — promotional credits, non-refundable, may expire earlier than purchased Diploks, may be removed if the linked purchase is refunded. Subject to admin-defined campaign eligibility, dates and limits.
- Purchased Diploks — usable only for eligible Diplomexa services, not a cash balance. Unused purchased Diploks may be reviewed for refund only as per the Refund Policy. Used Diploks are generally non-refundable unless an admin/legal exception applies.
- Subscription-included Diploks — part of the plan benefit, not separately refundable, may expire at the end of the subscription period. Carry-forward is subject to plan/admin settings.
14.4 Expiry
Diploks may have expiry dates depending on type, pack, subscription or campaign. Expiry is shown in the Diploks Wallet and Top-Up pages. Expired Diploks cannot be restored unless an admin manually adjusts the wallet with a reason recorded in the ledger.
14.5 Wallet ownership — personal and organisation Diploks
Every eligible Diplomexa user may maintain a personal Diploks wallet and top up Diploks for eligible premium services. Organisations (schools, conference owners, event managers) additionally maintain an organisation Diploks wallet to fund event-wide premium actions. The two wallets are tracked separately:
- Personal wallet — funded by the wallet owner; consumed only when the user performs personal premium actions.
- Organisation wallet — funded and managed by organisation-authorised roles; consumed when event-wide premium actions designate the organisation wallet as the payer.
- Organisers may sponsor or grant Diploks to event users; granted Diploks remain controlled by the recipient's wallet subject to any grant restrictions (event scope, feature scope, expiry).
- An organiser cannot block another user from buying personal Diploks. Personal top-up is gated only by Diplomexa platform policies, applicable laws, payment-gateway rules and compliance checks (including suspension and risk flags).
- For minor delegates, parent/guardian approval may be required by platform policy before a personal top-up is processed.
- Sponsor, partner-institution and observer accounts are not currently enabled for personal Diploks — this is a Diplomexa platform decision, not an organiser-level setting.
14.7 Ledger and audit
Every Diploks event (purchase, bonus grant, trial grant, usage, reversal, expiry, refund, admin adjustment) is recorded in an append-only ledger. Silent edits are not permitted.
